Heads of institution must re-enter each Grade 10 learner’s Grade 3-issued Assessment Number from an official KNEC slip, save the record, and let the system revalidate — before the 30 September 2026 lockout. Wrong numbers left as “system glitches” will block learners from Grade 10 School-Based Assessments that already count toward certification.
If a Grade 10 learner shows as invalid after KNEC’s validation sweep, do not assume the portal failed. The Council deliberately flagged numbers tied to duplicates, incomplete digits, wrong separators or mismatched records. For Grade 10, the prescribed fix is direct: open the learner record, re-enter the Assessment Number that was issued in Grade 3, confirm other mandatory fields, save/update, and allow automatic revalidation. The Senior School / Grade 10 onboarding window closes on 30 September 2026 with no further extension announced.

How the validation flags work
Schools handling mixed cohorts should apply the identifier KNEC named for each level:
- Grade 10 — Re-enter the learner’s Assessment Number (the permanent identifier from Grade 3) into the designated field, then save/update.
- Form 4 — Use the learner’s 2026 KCSE index number, confirming the correct 2026 prefix before saving.
- Form 3 — Use the learner’s 2023 KCPE index number as the examination identifier before saving.
An “invalid” status after validation is the system telling you the previous capture failed integrity checks. Waiting for a silent auto-repair wastes the days left before lockout.
Only official slips — never learner memory
KNEC’s guidance is explicit: capture Assessment Numbers and examination indexes from official printouts (slips). Learners frequently transpose digits when speaking or writing from memory. Do not invent, pad or “fix” a number to force a Valid status. Fabricated identifiers create a worse long-term record — the Assessment Number tracks the learner through Grade 12 and into the cumulative Kenya Certificate of Basic Education structure, where Grade 10 and 11 SBAs each contribute to the final subject grade.
What this is not. It is not permission to invent Assessment Numbers. It is not a substitute for unfinished centre registration on the Senior School portal. It is not the missing SBA score reopen closing 30 September for KPSEA/KJSEA cohorts.
HoI five-day cleanup drill (26–30 September)
- Export or list every Invalid learner on the Grade 10 / Senior School and related forms views you manage.
- Pull physical KNEC slips for each flagged learner before any retyping starts.
- Assign one data clerk for recapture; HoI or deputy verifies every tenth record and all stubborn cases.
- Re-enter the correct identifier for the learner’s level; complete missing parent/guardian or mandatory fields; save; note the new validation status.
- Escalate true missing slips through the junior school of origin or Sub-County Director — do not guess digits.
- Finish centre registration if still outstanding (Senior School portal / CBA onboarding) so corrected learners are not stranded behind an unregistered centre.
Practical checklist before lockout
- Treat Invalid as a work queue, not a ticket to wait on.
- Match every Grade 10 number to the Grade 3 Assessment Number on the slip.
- Reject separators and formats the portal does not accept (spaces, slashes, hyphens where digits-only is required).
- Never accept a number dictated from a learner’s phone notes without the slip.
- Keep a paper log: assessment number, clerk initials, date saved, Valid/Invalid after save.
- Separate this cleanup from the KPSEA/KJSEA missing-score reopen file.
- Refuse brokers selling “forced Valid” status or paid portal fixes.
